Save your itinerary as a PDF

In the itinerary editor, select the eye icon (Open preview) at the top right. In the preview, select PDF / Print, then Travel itinerary. Save the generated PDF to your device.

For a report of who pays whom, choose Settlement instead.

Why keep a PDF or paper copy

A shared web itinerary is best for planning, but a PDF is a useful backup on the day.

Phones run out of battery when you use maps and cameras all day, and signal can be weak on trains or in the mountains. A PDF or a printed page still works.

  • •Readable offline
  • •Easy to hand out to family or students
  • •Works when a phone battery runs out

Two PDF formats

When you save a PDF from TabinoTe, choose the layout that matches your purpose.

The travel itinerary format includes the schedule, stays, transportation, and shared memo. The settlement format includes the settlement result and the full list of expenses, which is useful when the trip is over.

  • •Travel itinerary: schedule, stays, transportation, and shared memo
  • •Settlement: who pays whom, plus every expense

What to check before you print

A printed itinerary is easier to read when it only contains what people need on the day.

  • •Meeting point and time
  • •Hotel name, address, booking name, and check-in time
  • •Emergency contacts for the organizer and the hotel
  • •Shared memo with any extra details

How to print at home or in Japan

At home, download the PDF and print it on A4 paper. Fold it in half to carry it in a bag.

In Japan, you can print a PDF at convenience stores by registering it with a network printing service, for example netprint at Seven-Eleven or Network Print at Lawson and FamilyMart. Prices differ by store and service, so check the official information before you go.

Keep one current version

Most itinerary confusion comes from old copies, not from bad planning.

Keep the web itinerary as the single source of truth. When plans change, update the web version first, then save a new PDF and tell the group which one is current.

  • •Name the file with the date
  • •Send the trip link and the PDF in the same message
  • •Ask members to delete older copies

Common mistakes

  • •Exporting the PDF too early and forgetting to export again after changes
  • •Printing every detail instead of what people need on the day
  • •Sharing several PDF versions so nobody knows which one is current

Action checklist

  • ✓Confirm meeting points and times
  • ✓Add hotel names, addresses, and booking names
  • ✓Add emergency contacts for the organizer and the hotel
  • ✓Save the final PDF and send it together with the trip link
